New Starter Onboarding Guide

Welcome to EXG

EXG (Exquisite Gaming) is a consumer electronics and licensing business operating across multiple sales channels and markets. This guide covers how to get access to the tools and systems you'll use day-to-day.

If anything is missing or unclear, contact Lauren (Digital & Technology Director) or your line manager.


Step 1 — Microsoft Account

Everything at EXG runs through Microsoft 365. Your Microsoft account is the key to The Oasis (this platform) and most internal tools.

What you'll need:

  • Your EXG Microsoft 365 email and password
  • Access to Microsoft Authenticator on your mobile (required for MFA)

Who sets this up: IT / your line manager — request access before your start date.

Once your account is active you can sign in to:

  • The Oasis at systems.exgpro.partners — hub directory, policies, docs
  • Microsoft Teams — internal communications
  • SharePoint — document storage (contracts, HR, finance exports)
  • Outlook — email

Step 2 — System Access by Role

Not everyone needs every system. Use the table below to identify what you'll need.

Step 3 — The Oasis & Department Hubs

The Oasis is EXG's internal platform. All department hubs live inside it, accessible after signing in with your Microsoft account.

Your access level determines what you can see:

  • Staff — all hubs above, read-only on board dashboards
  • Manager — all of above + board dashboards + full hub permissions
  • Board — all of above

Step 4 — Credentials & Shared Secrets

EXG uses a shared secrets manager (1Password or Bitwarden) to store API keys, OAuth tokens, database credentials, and platform logins.

Rules:

  • Never store credentials in Slack, email, or any document
  • Never hardcode credentials in source code
  • If you need access to a credential, request it from Lauren (Digital & Technology Director)
  • If you rotate or update a credential, update it in the secrets manager immediately

Step 5 — Communication

Step 6 — Key Things to Know

  • Zoho Inventory is the master ERP — it is the single source of truth for stock, orders, and fulfilment. If Zoho data and another system conflict, Zoho wins.
  • Xero is the financial system of record — all invoices, transactions, and reporting live here.
  • Shopify Plus powers the D2C storefronts (exgpro.com and uk.exgpro.com). Peekos and The Vault are separate Netlify sites that share the parent domain.
  • Canary 7 / Meteor Warehouse handles B2B 3PL and D2C fulfilment for UK and EU.
  • TikTok Shop UK is live. US is in setup. Both route orders via Shopify.

First Week Checklist

  • Microsoft account active, MFA set up
  • Signed in to The Oasis and Partner Portal
  • Read the Employee Handbook Introduction (Policies section)
  • Read the Code of Conduct and Ethics Policy
  • Confirmed system access matches your role (table above)
  • Added to Microsoft Teams channels for your department
  • Introduction meeting with line manager
